Project Coordinator

Primary purpose is to coordinate equipment deliveries and installs in various areas of the country. They work closely with many internal teams as well as vendors and customers. They are there to anticipate and resolve installation issues before they occur. The Project Coordinator will effectively communicate action items, determine and execute installs, actively reach out for paperwork or documentation, and follow up as needed until project is complete.

Duties

  • Monitor all new orders; reviewing within the system, tracking equipment, and following up with vendors for updates
  • Work with out of state dealers to disclose determined scope of work
  • Design and implement installation scheduling reports to be shared with customer and internal team
  • Hold internal and external roll-outs with customers and internal team to identify deployment needs
  • Communicate effectively with customer, internal departments, and vendors to coordinate setup & delivery
  • Gather post install paperwork, coordinate out of state lease returns, organizing and saving all documentation
  • Arrange equipment moves with customer and vendors
  • Work with dealers to set up interterritorial contracts; negotiating rates and terms as needed
  • Communicate with out of state dealers for company requests outside of the standard install spectrum
  • Builds and maintains excellent relationships with customers and vendors
  • Develop and update project schedules
  • Anticipate needs of customers and internal sales team related to installs
  • Deliver projects consistently on time and within budget
  • Increase cooperation and communication between departments and cross-functional teams
  • Manage weekly internal meetings related to scheduling and project status
  • Must be reliable to stay in-the-know on all projects and keep all parties informed and on task

Skills & Competencies:

  • Experience preferred
  • Proficient in Microsoft Office - Excel, Outlook, Word, etc.
  • Adaptable to unpredictable change in customer requirements and able to produce quick solutions
  • Ability to successfully work under deadlines
  • Excellent time-management, organization and project management skills, with attention to detail from inception through execution
